As part of the National Student Clearinghouse’s partnership with your school, we complete your compliance enrollment reporting responsibilities to the National Student Loan Data System (NSLDS), using the data you report to us within your enrollment reporting files.
Here is an overview of the compliance processes the Clearinghouse completes to assist in the completion of your school’s required enrollment reporting. Before you get started, watch our “Things to Know Before You Get Started Submitting Files” tutorial.
Enrollment Reporting Process
The monthly compliance enrollment reporting process begins when NSLDS sends the Clearinghouse enrollment reporting rosters containing the students who have Title IV funds and are attending or previously attended your school. NSLDS defines students included on the roster as:
- Students who have a loan made under the Federal Family Education Loan (FFEL) Program or William D. Ford Federal Direct Loan (Direct Loan) Program
- Students who have Federal Perkins Loans
- Students who have received Federal Pell Grants, Teacher Education Assistance for College and Higher Education (TEACH) Grants, Academic Competitiveness Grants (ACG) or Science and Math Access to Retain Talent (SMART) Grants
- Students on whose behalf a parent borrowed Parent PLUS loan(s)
The enrollment reporting rosters (also known as Student Status Confirmation Reports or SSCRs) are scheduled monthly for Clearinghouse schools.
- NSLDS usually creates the rosters on the first business day of the month
- The Clearinghouse typically receives the rosters within the first week of each month
- In accordance with federal regulation 685.309 and guidance within the NSLDS Enrollment Reporting Guide, the Clearinghouse responds within the required 15 days of receipt of the roster
As soon as we receive the rosters from NSLDS, we begin processing them and respond with the most recently certified student information provided by your school that has been reviewed, approved, and loaded into the Clearinghouse system.”
The Clearinghouse uses the school-reported student information that passes its error and warning process, and is ultimately loaded in our system, to respond to these rosters. Therefore, it is imperative for your school to review and correct your Clearinghouse enrollment reporting files’ errors and warnings, as presented on our secure website, in a complete and timely fashion.
